When Microsoft Access Still Makes Sense

Despite the noise about “Access being dead,” it’s still the right tool for plenty of small-business jobs. We’ll be honest about whether it’s the right choice for your job — and we’ll tell you when it isn’t.

Access is a sensible choice when:

  • A small team needs a shared database (under 10 simultaneous users)
  • Your workflow is too custom for an off-the-shelf SaaS but doesn’t justify a full web app build
  • You already have years of Access data and forms and don’t want to throw it all away
  • You need rapid development of forms, reports, and queries on top of existing data
  • Budget is tight and a $500–$5,000 Access database does the job a $50,000 custom web app would do

When You Should Migrate Off Access

We won’t string you along on a platform that no longer fits your business. If you’ve outgrown Access — and the signs are usually pretty clear — we’ll plan the migration.

Common migration triggers:

  • More than 10 simultaneous users causing locking and corruption
  • Need for mobile or web access — Access has no mobile story
  • Need to expose data to customers via a portal or website
  • Need to integrate with cloud services (Xero, HubSpot, Stripe, etc.)
  • Your IT person who maintained it has retired and nobody else can touch it

Migration paths we offer

Power Apps + Dataverse / SharePoint Lists. Microsoft’s official upgrade path. Keeps you in the Microsoft 365 ecosystem, cloud-native, mobile-friendly, integrates with Teams. Best when you’ve already got M365 and want to stay there.

SQL Server back-end + keep Access front-end. Cheapest migration. Move the data to SQL Server (or Azure SQL), keep your existing Access forms pointed at it. Get proper concurrency, backups, and security without rewriting the UI. We can do this in a day or two for most databases.

Custom web application rewrite. When the database is core to your business and you want to retire Access entirely. We rebuild it as a modern web app (Laravel, Astro + API, or .NET) with proper user management, multi-device access, and integrations.
